Catalog View

A view is a saved set of filters and variables with a name. Select a view — and only the relevant articles remain in the left panel, while variables in the content substitute the right values.

This is useful when one catalog serves different clients, teams, or regions. For example, two clients work with the same catalog but see different things:

  • The Acme view — project management articles and document templates. In shared articles, only their own tabs are visible — for example, the project team rules. The company_name variable substitutes Acme Corp, sla_hours substitutes 8.

  • The Globex view — ticket handling articles and analytics. In the same shared articles, only their own tabs are visible — the support team rules. The variables show Globex Corp and 4.

When exporting to PDF or DOCX, only the relevant articles and variable values for the selected view are included. The catalog remains single — no copies needed. Update an article once, and both clients see the current version immediately.

Filters

A filter hides from navigation any articles or paragraphs whose property does not match the selected value. Filters can be applied to articles and to tabs within articles.

On articles

With the filter Client = Acme, only articles with this property remain in the navigation — for example, Getting Started, Project Management, and Document Templates.

  1. Create a property in the catalog settings for filtering. The following types are suitable:

    • Single select — the article belongs to one client or team.

    • Multi-select — the article can belong to several.

    • Flag — for filtering by yes/no attribute.

  2. Open an article and assign the required property value.

  3. In the view panel under filters, click and select the required value.

On tabs

Tabs let you split paragraphs within an article so that each one appears only in the relevant view. If a tab is assigned a property, it is shown only when the view with the matching filter is active.

For example, in the Getting Started article, the Acme tab describes rules for the project team, and the Globex tab describes rules for the support team. Each client sees only their tab.

  1. Add Tabs to the article and create the required tabs.

  2. Select a tab and assign a property to it — for example, for the Acme tab select Client = Acme.

  3. In the Acme view, this tab will be displayed.

Variables

A variable is a catalog property whose value changes depending on the view. One article shows different content without creating copies.

To configure variables:

  1. Create a property of the required type — for example, Text for company_name or Numeric for sla_hours.

  2. In the view panel under variables, click and select the required value.

In the same article, the variable will show Acme Corp for the Acme view and Globex Corp for Globex.

Create a view

  1. Open the catalog and click Catalog View in the right panel.

  2. Set filters and variable values.

  3. Click Save and enter a name.

Views are stored in the catalog at .gramax/views and are available to all participants.

Apply a view

  1. Click Catalog View in the right panel.

  2. Select the required view from the list.

Filters and variables can also be applied without saving — for a one-time preview.

Editing the catalog is unavailable when a view is active.

Show to Readers

Views can be displayed on the documentation portal. Readers select the required view and see only their articles with substituted variable values.

To enable it, open the menu of the required view in the Saved block and enable the Show to readers option.

You can share an active view — copy the link and the reader will open the portal with the selected view already applied.
